How to Make Payments for Invoices, Quotes and Bookings

This article explains how to record payments for invoices on Tidify Pro and how payments relate to quotes and bookings.
Important: Payments can only be recorded through invoices. Quotes must first be converted into invoices before payment can be recorded.
Payment Overview
On Tidify Pro, payments can be recorded in two ways:

Directly from an invoice using the Record Payment option

During booking creation, where the booking is automatically linked to an invoice
All recorded payments are tracked for accurate financial reporting and this funnel makes it possible.
Prerequisites
Before recording a payment, ensure:

An invoice has been created
-
The invoice is not fully paid
-
You have the payment details (amount, date, and method)
How to Record Payment for an Invoice
Step 1: Open the Invoice
Navigate to Invoices from your dashboard and click on the invoice you want to record payment for.
Step 2: Click Record Payment
Inside the invoice view, click the Record Payment button.
This opens the payment recording modal.
Step 3: Enter Payment Details
Fill in the required fields:

Amount Received
Enter the full or partial amount paid by the customer. -
Payment Date
Select the date the payment was received. -
Payment Method
Choose the method used (e.g., cash, bank transfer, card, etc.) you can create your own payment methods from settings. -
Deposit to Bank Account (Optional)
Select a bank account if you want the payment deposited for accounting purposes. You can create/add all your business accounts receiving payments. Click on Journal to see Accounts and add your accounts.
Step 4: Email Receipt (Optional)
You may choose whether or not to send a receipt to the customer by toggling the Email Receipt option:

On – A payment receipt is emailed to the customer

Off – No receipt email is sent
Step 5: Record the Payment
Click Record Payment to save the payment.
Once recorded:

The invoice balance is automatically updated

The payment is logged for reporting and reconciliation
Payments from Bookings
When creating a booking:

If you mark payment as received, an invoice is automatically created

The payment is recorded and linked to the invoice
-
You can later edit or update the booking, and the invoice will stay in sync when you manually click on create/update invoice.
Payments for Quotes

Quotes cannot receive payments directly
-
Once a quote is accepted, it must be converted into an invoice

Payments can then be recorded against the generated invoice

Partial payments are supported

Multiple payments can be recorded on a single invoice

Recorded payments automatically reflect in reports

Payment records can be updated if corrections are needed
