How To Create And Manage Quotes On Tidify

This article explains how to create, send, manage, and convert quotes on Tidify Pro. Quotes help you formally present pricing to customers before confirming payments or bookings. This is largely helpful for major projects, corporate clients or retainerships.
What You Can Do with Quotes
With the Quotes feature, you can:

Create quotes manually

Send quotes to customers via email

Track quote status (pending, accepted, rejected)

Convert accepted quotes into invoices automatically

Maintain accurate financial records
Prerequisites
Before creating a quote, ensure:

You have an active Tidify Pro account
-
Customer details already exist or are ready to be created
-
Products or services are configured
How to Create a Quote
Step 1: Navigate to Quotes
From your dashboard, click on Quotes to access the quotes management page.
Step 2: Click New Quote
This opens the quote creation form.
Step 3: Select or Create a Customer

Select an existing customer from your client list
-
Or click Create New Client to add a new customer
Once created, the new client is automatically selected so you can continue without leaving the page.
Step 4: Fill in Quote Details
Enter the required information, including:

Quote title or reference
-
Validity or expiration date (if applicable)

Notes or special instructions
Step 5: Add Items or Services
Select the products or services to be included in the quote.

Adjust unit prices if needed

Set quantities
-
Apply discounts or promotions
-
Select applicable taxes
This ensures accurate pricing and reporting.
Step 6: Review and Save the Quote
After confirming all details:

Click Save Quote to keep it as a draft

Or click Send Quote to email it to the customer
Managing Quotes
Viewing and Updating Quotes

All quotes are listed on the Quotes page

Click any quote to view its details

You can edit quotes that have not yet been accepted
Quote Statuses
Each quote can have one of the following statuses:

Draft – Quote is saved but not sent

Pending – Quote has been sent and is awaiting customer response

Accepted – Customer has accepted the quote
-
Rejected – Customer has declined the quote
Converting Quotes to Invoices
When a customer accepts a quote:

You can automatically convert the quote into an invoice
-
No need to manually create a new invoice
-
The invoice remains linked to the original quote for tracking and reporting
Once converted, the invoice can be sent to the customer for payment.
Important Notes

Accepted quotes cannot be edited
-
Quotes without customer email addresses cannot be emailed
-
All financial changes automatically reflect in linked invoices
- The only way to make money come into your business data reporting is through invoice payments and through accounting page
